LDRS 23 Vendor Guidelines and Details

 The Premium/Sponsoring Vendor area will be set up closest to the flying field and the flight line. These spots will be reserved and marked out. The Standard Vendor spots will be available on a first come first served basis in parallel rows, just behind the flyer parking, to the left of the central access way to the field. Vendor registration is good for July 1-6, 2004 (Thu, Fri, Sat, Sun, Mon, Tue)


Premium/Sponsoring Vendors
 Premium/Sponsoring vendors will enjoy highly visible placement on the field, advertising in LDRS 23 media (website, etc.), 2 free banquet tickets, 2 free official LDRS polo shirts, and 2 free flyer registrations. The Premium/Sponsoring Vendors should let us know their space requirements as soon as possible by contacting Dean Oberg. Placement will be determined by the order in which this form is received with a check or merchandise pledge. Deadline for receipt of a merchandise or cash + merchandise application is May 15th, 2004. Merchandise must be shipped by May 31st, 2004 so we can organize items for the 5 daily raffles. If you need to ship Merchandise please use the address below as a Ship To. Premium/ Sponsoring Vendors are asked to setup as early as possible (recommend June 30th), in fact this is especially recommended for bigger displays requiring large truck access. Access to these spots will become more challenging as the field setup progresses. The vendor reservation fee and/or merchandise contributions are not refundable or returnable.


Standard Vendors
 The Standard Vendor spots will enjoy great accessibility on the field and the opportunity to market to several hundred customers with a keen interest in rocketry. The Standard Vendors will occupy parallel rows, spaced approximately 40-50 feet apart. Standard vendor rows will be just behind the flyer parking to the left of the central access way as you enter the field. (Flyer parking will be 3-4 very long parallel rows on either side of the central access way, so vendor spots will be close to the action.) We have allowed generous space for display purposes. Width boundaries will be somewhat flexible but we ask that each vendor only take the space they need with a max width of 30 linear feet, and respect their neighbor’s display area. Application deadline (post mark) for best pricing is May 31st, 2004. Merchandise contributions for the 5 daily raffles will be greatly appreciated and donors will be recognized when we advertise the raffle, during ticket sales and during the drawings. If you are contributing Merchandise for the raffle, please use the address below as a Ship To and ship items by May 31st, 2004. Vendors will want setup early (recommend June 30th), as the standard spots are on a first come first served basis. The standard vendor fee and/or merchandise contributions are not refundable or returnable.

Disclaimer
The LDRS 23 Committee reserves the right, at its discretion, to modify location/placement details to benefit all vendors, or to comply with any applicable regulations, or to remedy any other extenuating circumstance including, but not limited to, weather or safety concern. The LDRS 23 Committee has the right to re-sell or move other vendors into locations not occupied by 12 noon on July 1st, 2004 unless arrangements for late arrival have been made in advance.

Banquet

 
The LDRS 23 banquet will be held on Saturday, July 3rd at the RIT Inn and Conference Center -  Rochester, NY -  the official LDRS 23 hotel.

Cost: $25.00 per person

Shirts

 There will be 2 commemorative shirts available for LDRS 23. Available by pre-order only, there will be a limited quantity of a better quality polo shirt. 

 There will also be a T-shirt which can be pre-ordered, as well as a limited quantity for on site purchase.
